Buying Club Coordinator
- Primary contact person with distributor; communicates information from distributor to all members.
- Telephone contact/telephone tree coordinator in case of bad weather, emergencies, etc.
- Receives telephone calls from prospective members.
- Schedules and facilitates meetings.
- Ensures that the co-op has written policies, job descriptions, etc.
- Stays informed of UNFI policies and procedures; keeps members informed.
- May also be Job Coordinator; works with members on all job-related issues.

New Member Coordinator
- Works with Web Coordinator to maintain club web site, orients new members to club’s policies and procedures.
- Explains ordering procedures.
- Does introductory job training.
- Works with other coordinators to recruit new members, as needed.
- Gives new member packet to new members without computers.
- Updates ordering schedule twice a year.

Computer Services/Ordering Coordinator
- Helps those members who finalize and check the order; coordinator will commit the order.
- Helps the member who prints the invoices.
- Helps the member who produces distribution materials for food delivery.
- Does each of these jobs when they are on vacation, ill, or otherwise.

Treasurer/Bookkeeper
- Keeps financial records accessible to all members.
- Records all expenses.
- Prepares semi-annual meeting financial reports.

Distribution Coordinator
- Meets truck, supervises unloading truck; checks for miss-picks, damages, use-by dates, and ordering errors of frozen and refrigerated foods when they come off the truck, since these are not returnable.
- Obtains credit memo for any errors from the driver.
- Reviews paperwork for credits and debits with driver, signs for the delivery.
- Trains distribution crew; troubleshooter.

Distribution Crew
- Some members specialize in repack distribution.
- Some will repack all frozen and refrigerated foods.
- Some will work with full cases.
- Others will work with split cases and distribute the product into each member’s order.
- Some will weigh and label split bulk foods, using food safety measures.
- All check each member’s product against their pick sheet order.
- Makes written notes of items missing, out-of-stock, or damaged on the order.
- Packages each member’s order for easy pick-up.
- Leaves area clean and neat.

Quality Checker
- Does final checks of each member’s items against the member’s pick sheet.
- Reports any mis-picks or items not received that member was charged for to the club coordinator.
- Places a label with the word “mis-pick” on a mis-pick item, moves it to a designated table, circles the item on the member’s pick sheet, and to the right of the price writes amount of credit due (Example: <4.56> + tax).
- Writes "item not received" by any items member was charged for but did not receive, and writes credit on pick sheet as noted above.
- Doesn’t need to check refrigerated, frozen, or weighted items, but notifies someone in those departments if a discrepancy in one of those areas is seen.
- Places an “O.K.” on the pick sheet so anyone concerned will know that member’s order has been quality checked and the member can go ahead out check out with the cashier when ready.

Callers
- Calls to remind people of order date/time.
- Calls to remind people of adjustment date/time.
- Calls to remind people of pick-up time frame.
- Calls to remind workers of truck time arrival.

Truck Unloading Crew
- Three people must be available to unload the truck.

Secretary
- To record meeting minutes normally held biannually.
- In the minutes to keep record of each action voted by number so one can refer back to particular actions.
- Give a copy of the minutes either by hand, mail, or e-mail to each member.

Cashiers
- Adjust orders for miss-picks and items not received.
- Has members sign invoice showing they have received their order.
- Stamps checks as received by members.
- Makes deposit slip for all checks and takes deposit to the bank.

Web Coordinator
- Web design and maintenance
- Data entry, updating, and editing the club web site

Claims Coordinator
- Reports claims to Claims Department at UNFI within 5 business days.
- Receives calls from members on problems and reports to Claims.
- Coordinates driver pick-ups of product returns.
